Managing Webmail Accounts in cPanel
Once you’ve accessed email accounts in cPanel, you have the following options available to help you manage them.
Email accounts can be set up on desktop or mobile apps, like Outlook or Apple Mail, using the configuration settings provided in cPanel. Use the Connect Devices option in cPanel for quick setup instructions to link your email to Outlook, Samsung devices, iPhones, and more.
cPanel will provide you with the necessary configuration details, including incoming and outgoing mail servers, ports, and encryption settings, to manually configure your email client. Additionally, it provides automatic configuration scripts for popular clients.
Webmail clients like Roundcube offer a browser-based option, making it ideal for accessing email from any device without the need to install and configure another app.
Set up email forwarding if you want emails from one address delivered to another inbox, as well as autoresponders for “out of office” messages, confirmations, and other replies when you are unavailable. Email filters can also be set to handle incoming messages. This is important for:
- Spam control to prevent unwanted emails.
- Sorting emails into specific folders based on sender, subject, or keywords.
- Deleting, forwarding, or marking emails as read based on specific criteria.
Webmail Account Security
Use strong, unique passwords for each email account to prevent unauthorised access. If you reuse passwords or use weak ones, a breach of one account can compromise all your others. A strong, unique password reduces the risk of your email hosting account being hacked and your sensitive information being stolen.
Passwords should be a mix of uppercase and lowercase letters, numbers, and special characters (#@?*!). You can change or reset your password by clicking Manage next to the specific email address or account.
Domains.co.za Webmail Hosting
Domains.co.za Email Hosting supports both IMAP and POP protocols, providing flexibility depending on your preferred method for storing or syncing emails.
Storage limits per email account are displayed in the Email Accounts section. Exceeding this limit can result in bounce-backs, where incoming emails will be rejected and returned to the sender. You may also be prevented from sending new messages.

Changing MX Records
If your emails aren’t sending or receiving, check that your MX records are correctly configured in cPanel’s Zone Editor.
MX (Mail Exchanger) records are a type of DNS (Domain Name System) record that specifies which mail servers are responsible for accepting emails for a specific domain name. If your MX records are incorrect, incoming messages won’t know which email hosting server to go to, and outgoing emails might be flagged as suspicious or undeliverable.
cPanel’s Zone Editor is where you manage all your domain’s DNS records, including A records, CNAMEs, and, most importantly, MX records for email.
