Secure Email Access with SSL/TLS
SSL (Secure Sockets Layer) and TSL (Transport Layer Security) are both protocols that encrypt your email communication during transfer. This prevents eavesdropping, and data interception and protects your login credentials and sensitive information.
- To set up secure email access, launch your preferred email client such as Microsoft Outlook, Thunderbird, or Apple Mail, and access its settings
The specific steps may vary slightly depending on the one you use; however, the general process involves the following:
Protocol Selection and Mail Server Configuration
There are two main types of protocols you can use when configuring your email client:
- IMAP (Internet Message Access Protocol): Recommended for accessing emails from multiple devices as they all remain on the server.
- POP (Post Office Protocol): Downloads emails to your computer and deletes them from the server by default.
- Choose either POP or IMAP based on your preferences.
- You can now configure your incoming and outgoing Mail Servers and enable SSL/TLS by entering the below:
– Username: The full email address you created (e.g., yourname@exampledomain.co.za
– Password: Your email account password
Incoming (IMAP/POP3 over SSL/TLS)
- Host: mail.yourdomain.co.za (replace with your actual domain)
- Port: IMAP: 993 / POP3: 995
- Encryption: Select SSL/TLS
Outgoing Mail Server (SMTP):
- Host: mail.yourdomain.co.za (replace with your actual domain)
- Port: 465
- Encryption: Select TLS
IMPORTANT:
IMAP, POP3, and SMTP all require authentication.

- Click Save
- Send a test email to your newly created email account to check if you can receive and send emails successfully.

Common Troubleshooting Tips
Connection Errors
If you encounter issues connecting to the server, double-check your server settings, ports, and SSL/TLS configuration.
Not Receiving Emails
Check your spam filters to make sure that incoming messages are not being marked as spam, and that your firewall is not blocking email traffic. Double-check that your incoming mail server settings (username, password, hostname) are correct.
Can’t Send Emails
Check your outgoing server (SMTP) settings and authentication credentials are correct.
The number of emails (and their attachments) all take up server storage space. If you have exceeded your storage limits, delete old, unnecessary messages and downloads.
Verify that the domain name on the SSL certificate matches the domain you are connecting to.
